Email

Before you start

• It works with Microsoft mailboxes: Outlook.com, Hotmail and Live addresses, and Microsoft 365 work or school accounts. Gmail is not supported yet.
• Connecting is your choice. Everything else in Epocra works the same without it.
• Connect the mailbox you work from, so the AI Chat sees the same conversations you have on your calls.

Connecting your email

1. Open the Email card Go to Settings › Integrations › Email and press Connect Microsoft.
2. Approve it on Microsoft's screen Microsoft opens its own sign-in. Approve the access Epocra asks for: reading your mail and saving drafts. You never type your Microsoft password into Epocra, and Epocra cannot send email from your account.
3. Let the first import run A bar on the card shows how far it has got. A big mailbox takes a while; you can leave the page and come back. After that, Epocra checks for new and changed mail about every five minutes.

Your writing profile

Your writing profile is a written description of how you write email, built from the emails you have sent. When you ask the AI Chat to write an email, it follows your profile so the draft reads like you wrote it: how you open and sign off, how long you usually write, how formal or casual you are with different people, the phrases you use, and the ones you never use.

• What it is built from. The messages you sent, with the parts that are not yours taken out: quoted earlier messages, signatures and disclaimers. Automatic replies, forwards you added nothing to, notes you emailed to yourself and Epocra's own emails are left out, so only your own writing counts.
• When it is built. Right after the first import. The Email card shows which version you have and how many emails it was built from, for example v1 from 7,317 emails.
• It keeps learning. Emails you send later are added each night. When the card says 5 more will be added tonight, those are emails you sent since the last update.
• You can read and change it. Press View / edit profile to see the whole profile. Change anything that is wrong and drafts follow your edited text exactly. Rebuild profile makes a fresh one from all your sent mail and replaces your edits.
• What it is used for. Only for writing the drafts you ask for. Along with your profile, a draft uses the email you are replying to and your earlier emails with that person. Your profile is never shown to the people you email and never used for advertising.

Email in the AI Chat

Ask about your email the same way you ask about your calls: "What did Dana say about the contract?" or "Did I send Mike the pricing?". The AI Chat searches by meaning, so you do not need the exact words that were in the email. It answers from your calls and email together and says which one each fact came from.

Attachments are listed by file name. A file is opened only when a question needs what is inside it; Epocra reads it from your mailbox at that moment and keeps only its text, never the file.

To have an email written, just ask: "Email Dana about our last call" or "Reply to Mike and tell him Friday works". The AI Chat gathers the facts from your calls and email, your writing profile writes the draft, and you see it with anything you still need to fill in. Ask for changes in your own words, then say save it or press Save to Drafts and the draft lands in your Outlook Drafts folder. Open it there to check it and send it.

What Epocra never does

• Send email. A saved draft waits in your Drafts folder until you send it yourself.
• Move or delete your mail. Epocra reads your mail and adds drafts; nothing else in your mailbox changes.
• Read Junk Email, Deleted Items, Drafts or Outbox.
• Use your email for advertising, or sell it.

Disconnecting and removing your email data

Press Disconnect on the Email card. Syncing stops and Epocra deletes its access to your mailbox. Your imported mail and writing profile stay, so reconnecting later is instant.

To delete what Epocra imported, press Remove my email data. Your imported mail, attachment details and writing profile are deleted. Drafts you already saved stay in your mailbox, under your control.

Deleting your Epocra account disconnects your mailbox within a minute, and your imported mail is erased with the rest of your account. See Closing your account.

When something looks wrong

The card says to reconnect. Microsoft stopped accepting Epocra's access, for example after a password change or because the app was removed from your account. Press Reconnect Microsoft and approve it again; nothing is lost.

The AI Chat did not find an email. New mail reaches Epocra within about five minutes. Mail in Junk Email or Deleted Items is not read. Try naming the person or the company in your question.

A draft does not sound like me. Open View / edit profile and fix the part that is off, for example how you sign off. Drafts follow your profile exactly.

The sync stopped. It retries by itself. If the card keeps saying it stopped, press Sync now.
